County records to become digitized

The Coryell County Clerk’s office recently collaborated with Kofile Technologies in Dallas to have records from the clerk’s office digitized.

Deed record books from A-Z and books 1 to 240 were recently collected by a Kofile representative and transported to Dallas for the process of digitizing them so that, in the future, they could be viewed online through the county clerk’s website.

“The digitizing process will take approximately three to six months,” according to Coryell County Clerk, Jennifer Newton.

According to Newton, the deed records will be digitized first followed by the Deeds of Trust which will include Book A through Book 182.

“Streamlining and accessibility to records are a top priority for the County Clerk’s office and this is an enormous step in that direction,” Newton said.

“Several improvements that have recently been put into place is the online accessibility of land records, birth indices, death indices, and marriage indices; we also recently launched an application to request vital records online – all of this information can be found on the county clerk’s new website at www.coryellcountyclerk.com,” she said.

In total, the books recently removed for digitization include 265 record books.

Archival digitization includes capture and processing (custom image enhancement and cleanup) and optimization for access.

Kofile Technologies has the ability to scan mixed sized and large format documents. The firm employs a range of scanners to tailor imaging services to the document that requires imaging. All of the scanners employ page detection to adjust for varying sizes of paper. Fragile documents are imaged by hand and not fed through an automated document feeder. Kofile’s technicians are trained to handle and process fragile documents.
